Privacy Policy for Collage Bot

1. Introduction

Welcome to Collage ("Bot"). This Privacy Policy explains how we ("We," "Our," or "Us") collect, use, and protect your information when you interact with our Services on Discord. By adding our Bot to your server or using its commands, you agree to the collection and use of information in accordance with this policy.

2. What Data We Collect and Why

We only collect data that is necessary for the Bot to function properly and provide its features.

A. Information You Provide Directly

Last.fm Username: When you use the -fmset command, you provide your Last.fm username. We store this username to connect to the Last.fm API and provide you with music-related features. This data is used solely for this purpose.

B. Information Collected Automatically for Core Features

User IDs, Server (Guild) IDs, and Channel IDs: We store these Discord-provided IDs to manage core functionalities. This includes saving user-specific data for our leveling and economy systems, remembering server-specific settings, and preventing abuse by blacklisting users or servers where necessary.
Commands You Use: We process the commands you run to provide the Bot's services. This data is not stored long-term, but it is necessary for the Bot to respond to you.

C. Special Data Categories (Related to Privileged Intents)

To provide specific, advanced features, we require Privileged Intents, which allow us to access additional information as described below:

Message Content for the Snipe Command: To enable the -snipe command, the Bot temporarily stores the content, author, and timestamp of the most recently deleted message in a channel. This data is stored in the Bot's temporary memory (not in a permanent database) and is automatically overwritten when a new message is deleted in that channel, or after a short period (typically under 10 minutes), whichever comes first. This is a moderation feature for transparency and context.
Message Content for the Leveling System: To ensure a fair and engaging leveling system, the Bot processes message content to award experience (XP) based on activity, which helps prevent spam. We do not store the content of your messages for this feature. We only perform a real-time, non-sensitive analysis (e.g., checking the message length). You have full control and can opt-out of the leveling system at any time using the -xpoptout command.

3. Data Storage and Retention

User-Provided Data (Last.fm, Levels): This data is stored until you request its deletion.
Snipe Data: As stated above, this data is temporary and is not stored in a long-term database.
Server Configurations: Settings data is stored as long as the Bot remains in the server.

4. Data Sharing and Disclosure

We do not sell, trade, or share your personal information with any third parties for marketing or commercial purposes. We may only disclose your information if required to do so by law or in the good-faith belief that such action is necessary to comply with a legal obligation.

5. Your Rights and Control Over Your Data

You have control over your data.

Right to Access: You can request a copy of the data we have stored about you.
Right to Deletion: You have the right to request the deletion of your user-specific data (like your Last.fm username and leveling progress) at any time.
Right to Opt-Out: You can opt-out of the XP/leveling system at any time using the -xpoptout command.

6. Age Restrictions

Our Services are not directed to children under the age of 13. We do not knowingly collect personal information from anyone under 13. If you are a parent or guardian and you believe your child has provided us with personal data, please contact us. If we become aware that we have collected data from a child under 13, we will take immediate steps to remove that information.

7. Data Security

We are committed to protecting your information. We implement reasonable and industry-standard security measures to prevent unauthorized access, use, or alteration of your data.
